Building a VAT evidence pack that survives queries
A folder structure finance teams can reuse when HMRC or auditors ask how a return was built.
An evidence pack is not a dump of every invoice from the quarter. It is a guided path from each material box figure to the documents that explain it.
Create a top-level folder per return period. Inside, use one subfolder per box that moved meaningfully, plus a folder for adjustments and one for correspondence. Name files with date, supplier or customer, and amount so reviewers can search without opening every PDF.
Add a one-page cover note: who prepared the return, which systems fed it, and any unusual items. That page saves hours when someone else has to answer a query months later.
Refresh the pack after each correction. Out-of-date workings are worse than none — they create false confidence. Interface Automation's return evidence engagements follow this pattern so your team inherits a structure, not a one-off archive.
