Partial exemption without the fog

How mixed suppliers can keep recovery calculations understandable across the year — not only at the annual adjustment.

Partial exemption feels opaque when residual expenditure is dumped into one code and left until year-end. The annual adjustment then becomes a surprise rather than a confirmation of work already done.

Tag residual costs monthly. Keep a short schedule that shows taxable, exempt, and residual totals for each period. Even a simple workbook beats discovering in March that a large facilities invoice was never allocated.

Test your recovery percentage against a fresh sample of invoices, not only against last year's fraction. Business mix shifts — a new exempt stream or a one-off capital project can move the percentage enough to matter.

If you operate a special method, keep the approval letter with the workings. Reviewers will ask whether practice still matches the approved steps. When it does not, note the gap and discuss correction with your advisor before the next annual adjustment.
